DAT-MAIL Spoilage Manifest Module works in conjunction with your presort palletization to replace paper manifests by providing electronic acceptance and verification capabilities. Mailers can remove spoilage from their postage statements at the actual postage rates , not lower estimated rates.

The problem

When spoilage takes place, you often can not reprint the piece fast enough to replace it in the original tray so it is removed from the mailing. Many manifest mailers are not deducting the postage for the spoils or deducting it at the lowest postage rate in the mailing as required by the United States Postal Service. If your mailings include multiple piece weights, deducting spoilage at the lowest postage rate can be even more costly.

The solution

DAT-MAIL™ Spoilage Management Module imports the Mail.dat files for the manifest mailings and knows the location and weight of every piece is thanks to the 'Piece Detail File' in Mail.dat files. If you reprint spoiled pieces right away, DAT-MAIL can tell you right on the shop floor which tray and package it belongs in. If you don't reprint the piece in time to replace it in the original mailing, DAT-MAIL will let you remove it from the mailing and deduct the actual postage cost, not estimated cost. It can do this since it can provide the required audit trails and can check to see if spoilage disqualifies any of the rates claimed in the mailing. Recording the spoiled pieces can be done by scanning in or entering the Piece ID's of the spoiled pieces. This program can also import files generated by intelligent inserters. The DAT-MAIL DAEMON can automatically import the Mail.dat files generate the statement data and post the spoilage as soon as the Mail.dat files and spoilage files are uploaded to the mailer's network. This entire process can be almost entirely automated.

How it Works

You will presort your mailing list and print a USPS approved keyline containing your piece ID on your envelope. This will require you to use the manifesting option for your presort software. If you have an intelligent inserter, you may also print the piece ID in a special bar code that can be read by the inserter. When the presort is done, the presort program creates a Mail.dat file which is transferred to mailer's network (if your presort software is on a mainframe or Unix computer) which is read by DAT-MAIL automatically as soon as it shows up on the network.

Once DAT-MAIL has the information, you can run the spoilage management utility on the shop floor to scan or enter the spoils or if you have an intelligent inserter, you can upload the spoilage file to the network and DAT-MAIL can automatically post the spoilage. At that point you can print your adjusted postage statement with manifest spoilage attachment, your spoilage analysis report and your floating batch manifest. If you have a detached mail unit, you can let your mail clerk view the manifest and print selected pages for verification purposes. You also can print numerous mail production and management reports. Your detached mail unit will need a network workstation so they can access your Mail.dat data in real time. A special installation option restricts DAT-MAIL functions on a postal workstation.

Also works for Standard Mail

DAT-MAIL Manifest is great for First Class manifest mailers, but it be also can be used by Standard Mail manifest mailers. It can deduct spoilage for Standard Mail and even prepare adjusted drop ship documents and consolidated postage statements that reflect the NET postage after spoilage has been removed. By eliminating paper manifests and providing precise verification tools for the mail verifier, Window Book has turned postal manifesting into a practical alternative to Optional or Alternate Procedure for high volume Standard Mail bulk mailers. Manifesting has many advantages including uniform mail preparation standards in all parts of the country, ability to precisely deal with non-identical piece weight mailings including selective inserted/bound jobs and the ability to use the DAT-MAIL Spoilage Management utility to deduct the exact spoilage even for advertising mail which is never reprinted or replaced.
